The whole operation on one screen

A Tuesday at an HVAC company, on the system. Every line did itself.

The company
Forty people. Calls come in on three phones, the schedule lives on a whiteboard, invoices go out when the office catches up, and the owner learns what got done by asking.
What the system does
A request is typed once, or not at all. The job reaches the tech's phone on its own, the customer is told who is coming, and the invoice goes out at sign off, into the books.
What the owner sees
What came in, what got done, what is owed, what is late. On a phone, without ringing the office.
Why it matters
The company stops depending on the two people who knew where everything was.

The company
An electrical contractor with six crews. Quotes go out when somebody gets to a desk, the crew finds out where it is going by text at 6am, and the invoice waits for a Friday.
What the system does
The quote is sent from the job and chased until there is an answer. The crew is told the night before. The invoice leaves the day the work is done.
What the owner sees
Nothing to remember. A short list of the few things that need a decision, and the rest already happened.
Why it matters
Anything the company does twice a week can be made to happen without a person. That is most of the office.

The company
An owner who could find out anything about the business, given an afternoon. There is never an afternoon, so the week is run on a feeling.
What the system does
The numbers come from the work as it happens. Nobody types them in, which is the only way they stay true. Several hundred things are checked every morning and the few that are wrong go on top.
What the owner sees
Booked, quoted out, owed, late. Four lines and a short list, on a Tuesday, instead of a guess on a Friday.
Why it matters
A decision made on numbers costs less than the same decision made on a feeling. Every week.

The company
A company doing jobs worth real money, where the customer calls to ask where things are, and every one of those calls is ten minutes the office had planned to spend working.
What the system does
Each customer signs into their own view: the stage their job is at, today's photos, the quote, the invoice, and anything waiting on their yes, with one button to give it.
What the owner sees
Far fewer interruptions, and one place where everything that was agreed is in writing, with the date they said yes.
Why it matters
On a big job, who said what and when is the whole argument. This ends it before it starts.
